Service Well LLC d/b/a Service Well (“Service Well,” “we,” “us,” or “our”) operates the Service Well platform at servicewell.co. This Privacy Policy describes how we collect, use, and share information when you use our website and services.

Information We Collect

Account Information

When you create an account, we collect your name, email address, phone number (optional), and role within your organization. For managers, we also collect your organization name and timezone. If you are a staff member, your name, email address, and phone number may be provided to us by your employer when they invite you to the platform.

Waitlist Information

When you join our waitlist, we collect your name, email address, and restaurant name.

Usage Data

We collect information about how you use the platform, including quiz responses, scores, flashcard progress, study material views, and engagement metrics. This data is used to provide analytics and improve the learning experience.

Payment Information

Payment processing is handled by Stripe. We do not store your credit card details. Stripe’s privacy policy applies to all payment data.

Product Analytics and Error Monitoring

To keep the platform working and to understand how it is used, we collect diagnostic and usage data through PostHog (product analytics) and Sentry (error monitoring):

  • Errors: when something breaks, we record the technical details of the failure — the error message, the code path, the page it happened on, and your browser and device type — so we can fix it.
  • Usage: which pages are viewed and which features are used, so we can improve the parts of the product people actually rely on.
  • Session replay: a reconstruction of on-screen interactions such as clicks, scrolling, and navigation. All text is masked in your browser before it is sent — we can see where you clicked, not what you read or typed. Billing and payment pages are excluded from recording entirely.

We remove personal information before this data leaves your device. Email addresses, names, phone numbers, and access tokens are stripped in your browser rather than after we receive them. Sessions are identified using internal account identifiers only — never your email address or name. This data is not sold, and is not used for advertising.

How We Use Your Information

  • Service delivery: To provide the training platform, deliver quizzes, track progress, and generate analytics.
  • Communications: To send quiz notifications, reminders, and platform updates via email.
  • AI features: To generate quiz questions, flashcards, and product enrichment content. Your menu and product data may be processed by AI models (Anthropic Claude) to generate training content. Anthropic does not use this data to train its models.
  • Improving what the AI generates: To measure and improve the quality of the content our platform generates, using records of what was generated and which suggestions managers kept or rejected. This is described in detail below.
  • Analytics: To provide managers with team performance insights and to improve the platform.
  • Billing: To manage subscriptions and process payments through Stripe.

Improving AI-Generated Content

When the platform generates training content — quiz questions, flashcards, study materials, or product descriptions — we keep a record of what was generated, the menu and product information it was based on, and which suggestions the manager kept, edited, or rejected.

We use these records across customer accounts. A manager rejecting a weak question at one restaurant is how we make the generator better for every restaurant. It is the most direct way we improve the product, so we would rather state it plainly than leave it to be inferred.

What this does not mean:

  • Your menu, product information, and training content are never shown to another customer without your permission, and are never used to generate content for another customer’s account.
  • No customer-identifiable data is used to train AI models — ours or anyone else’s. These records are used to evaluate and improve the instructions we give the model.
  • Individual staff performance — quiz scores, results, and progress — is not part of this.

These records identify the organization and the manager who made each decision, so that we can tell the quality of our own content apart from one reviewer’s preferences. They are retained beyond the life of an account, because their value comes from being compared over time and across accounts. Third-Party Services

We use the following third-party services to operate the platform:

  • Supabase: Database hosting and authentication (PostgreSQL).
  • Stripe: Payment processing and subscription management.
  • Resend: Email notifications and communications.
  • Anthropic: AI-powered content generation (Claude API).
  • Vercel: Application hosting.
  • PostHog: Product analytics and session replay (United States region).
  • Sentry: Error monitoring and diagnostics (United States region).

Each service has its own privacy policy governing how they handle data.

We do not sell, rent, or share your personal information with third parties for marketing or advertising purposes. Data is shared with the third-party services listed above solely to operate and deliver the Service Well platform.

Email Communications

Staff members receive quiz notifications and reminders via email. To stop all notifications, contact your manager to deactivate your account.

Data Retention

We retain your account data for as long as your account is active or as needed to provide services. If your organization cancels its subscription, we do not delete everything at once. Different kinds of data are kept for different lengths of time, according to whether we still have a reason to keep them:

  • Your content — menu items, product information, and training materials — is retained so your account can be restored if you come back. It remains yours, and we do not claim ownership of it.
  • Personal information — names, email addresses, and phone numbers — is retained while your organization can still reactivate its account. We do not delete it on a fixed timetable; instead, you can ask us to delete it at any time, and we will.
  • Learning and usage records may be retained in de-identified form, which means they are no longer connected to an individual person.
  • Records of AI-generated content and the decisions made about it are retained as described in “Improving AI-Generated Content” above.

You can ask us to delete your personal information at any time, whether or not your account is active, and we will honor the request within 45 days — see “Your Rights” below. A small number of records are kept for ongoing legitimate purposes even after such a request: the AI-improvement records described above, and records we are required to keep for tax and accounting. Where we keep a record of that kind, we remove the information that identifies you from it.

Waitlist data is retained until you are converted to a customer or request removal.

Data Security

We use industry-standard security measures including encrypted connections (HTTPS), row-level security policies in our database, and secure authentication through Supabase Auth. All data is hosted in secure cloud infrastructure.

Cookies

We use essential cookies for authentication and session management, and a first-party cookie set by our analytics provider to recognize a returning session. We do not use advertising cookies, and we do not permit cross-site tracking or ad targeting.

Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data

California Privacy Rights (CCPA)

While Service Well is currently below the thresholds at which the California Consumer Privacy Act (CCPA) applies, we extend its core rights to California residents regardless: the right to know what personal information we collect and how it is used, the right to request correction, and the right to request deletion — see “Your Rights” above. We do not sell personal information.

Children’s Privacy

Service Well is a workplace training tool provisioned by employers and is not directed to children. Anyone under 16 may not use the service, and we do not knowingly collect personal information from anyone under 16. Staff accounts for employees under 18 may be used only where the employing restaurant has obtained consent from the staff member’s parent or legal guardian, as described in our Terms of Service. If you believe we have collected personal information from anyone under 16, contact us at hello@servicewell.co and we will delete it.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the “Last updated” date.
